
Privacy policy

This policy explains what information the Anew Operations Portal (“the portal”) holds, how Anew Senior Placement (“Anew”, “we”) uses it, and how it is protected. The portal is Anew’s internal work system; it is not a public website and has no public sign-up.
What the portal holds
- Staff accounts: name, work email, role, and a hashed password or a Microsoft sign-in.
- Client records entered by Anew staff: the people Anew helps find senior living, their family contacts, placement details, and the health and care information a placement needs.
- Facility records: the care homes and communities Anew works with.
- Activity history: who changed what and when, kept so records can be audited.
QuickBooks Online data
When an Anew administrator connects Anew’s QuickBooks Online company, the portal reads the company name, customers, service items and invoices, and creates customers and invoices when an administrator asks it to. It stores only what it needs to link its records to QuickBooks: the invoice number and identifier, the matching customer, and the connection itself. The connection’s access tokens are encrypted at rest.
QuickBooks data is used only to create and track Anew’s own invoices. It is never sold, never shared with anyone outside Anew, never used for advertising, and never used to train artificial intelligence. Disconnecting QuickBooks stops all access at once and changes nothing in QuickBooks.
How information is used
Information in the portal is used to run Anew’s placement work: keeping client records, scheduling follow-ups and tours, sending the emails Anew’s process calls for, and invoicing. We do not sell it, and we do not use it for advertising.
Service providers
The portal runs on these providers, each of which handles data only to provide its service to Anew:
- Cloudflare: hosting, and encrypted backups (R2)
- Neon: the database, in the United States
- Resend: sending the portal’s email
- Intuit QuickBooks Online: invoicing, when connected
- Microsoft: sign-in with a Microsoft work account
- Sentry: error reports, from which client information is removed before they are sent
- Better Stack: uptime checks, which carry no client information
- GitHub: runs the nightly encrypted backup
Security
The portal is served over HTTPS only. Passwords are stored hashed, never in readable form. Every action is checked on the server against the user’s role, so staff see only what their role allows. Backup copies of the database are encrypted before they are stored.
Cookies
The portal sets only the cookies it needs to keep you signed in and to protect sign-in. There are no advertising or analytics cookies and no tracking.
Keeping and deleting information
Records are kept for as long as Anew needs them for its work and its legal obligations. A request to see, correct or delete information about you goes to the contact below.
Changes
We may update this policy. The date at the top of this page shows when it last changed.
